• User IDs — used by seasonal commands, gambling, pets, currency, inventory, and moderation features.

• Server (Guild) IDs — used by moderation and gambling features.

• Channel IDs — used by moderation and gambling features.

• Role IDs and role names — used by moderation features (e.g. /setrole & /colour).

• Usernames — used by seasonal commands.

• Message content — only when explicitly provided through a command (e.g. /setmessage & naming a pet).

3. How We Use Your Data

Your data is used solely for:

• Providing bot functionality (e.g., storing your currency, inventory, and pet names)

• Customising your in-bot experience

• Managing server-specific preferences (e.g., saved roles and moderation records)

We process your data on the basis of legitimate interests — namely, to provide and maintain the functionality of the Bot that you and your server have chosen to use. Where moderation data is concerned, this also supports server administrators' legitimate interest in maintaining order and safety within their community.

All data is stored in a secured, non-public database with restricted access, hosted with reputable third-party infrastructure providers. These providers are not publicly accessible and apply their own security protections to safeguard hosted data. We take reasonable measures to protect your data from unauthorised access, alteration, or disclosure.

We do not sell, rent, or share your data with third parties for marketing or advertising purposes, under any circumstances.

We do use third-party infrastructure providers (for database hosting and server hosting) to operate the Bot. These providers process data solely on our behalf, strictly to deliver the Bot's functionality, and do not use your data for their own purposes. Data is not transferred elsewhere beyond what is necessary to operate this infrastructure.

7. Children's Privacy

The Bot is intended for users aged 13 and older. If we become aware that we have collected data from a user under the age of 13, we will delete that data promptly. If you believe a user under 13 is using the Bot, please contact us at contact@robirb.com, or report it to Discord directly through their support form

8. Data Retention

We retain your data only for as long as necessary to provide the Bot's functionality. Data may be deleted when the Bot is removed from your server, when it is no longer needed for the feature it supports, or upon request via contact.
